About the role

We are looking for an Executive Assistant who can bring order, speed, and follow-through to a fast-moving team. You will support leadership across scheduling, communication, hiring coordination, customer follow-up, and operational projects.

This role is ideal for someone highly organized, discreet, proactive, and comfortable operating with context rather than step-by-step instructions.

Responsibilities

  • Manage calendars, scheduling, meeting preparation, and follow-up for leadership.
  • Coordinate customer calls, recruiting conversations, team meetings, and external partner communication.
  • Track action items and make sure important work does not fall through the cracks.
  • Prepare agendas, notes, summaries, and lightweight operational documentation.
  • Support hiring logistics, candidate communication, and interview coordination.
  • Help with vendor coordination, travel planning, event logistics, and ad hoc operational projects.

What we're looking for

  • Experience as an executive assistant, operations coordinator, chief-of-staff associate, recruiting coordinator, or similarly detail-oriented role.
  • Excellent organization, written communication, and calendar management skills.
  • High discretion and good judgment with sensitive information.
  • Ability to prioritize, follow up, and move work forward independently.
  • Comfort working in a fast-changing environment with competing priorities.

Nice to have

  • Experience supporting founders or executives at a startup.
  • Experience coordinating customer-facing or recruiting-heavy schedules.
  • Comfort with tools like Google Workspace, Notion, Slack, Linear, or similar systems.

What success looks like

  • Leadership spends more time on high-leverage work and less time on coordination.
